Who performs the services listed in this website?

There are 3 companies and each performs specific duties. Each is owned and operated by the CEO, Sherry Thomas (View BIO   View CV). Medical Staff Seminars and Office Solutions (Medical Staff SOS) is the parent company and was established in 1998. Through years of research and experience in the field Ms. Thomas saw the need for quality education and certifications within the healthcare field. Thus PHIA (Professional Healthcare Institute of America) was developed. Many clients and students turn to this organization for help therefore HPMS (Healthcare Professional Member Services) was developed to provide members access to invaluable information to help with their day to day operations.

Ms. Thomas is an advocate for physicians and has worked to ensure her organization provides the medical community with the highest quality education, training and assistance available.

Which services are performed through Medical Staff SOS?

Chart audit services are provided to physicians and non-physician providers through Medical Staff SOS. In addition to chart audits and staff training for internal audits, this division provides physician/provider shadowing and physician/provider/staff coding education.

Medical Staff SOS is also an Independent Review Organization (IRO). This designation is required by the office of the Inspector General (OIG) to fulfill Corporate Integrity Agreement (CIA) or other governmental mandated compliance programs. We can assist physicians, hospitals and other health care providers or organizations meet their voluntary or mandated requirements.

All of our instructors are certified and well accomplished in their area of expertise. Our reputation for excellence in customer service is carried through to our licensed educational division, PHIA as well as our member division, HPMS.     top of page

PHIA is a national organization that provides credentials and curriculum for Medical Administrative positions in six areas: Physician/Hospital Coding, Billing, Auditing, Compliance & Practice Management. The State of Kentucky Board for Proprietary Education has licensed PHIA to conduct these programs in the USA for the educational advancement and credentialing of healthcare professionals.     top of page

Which services are performed through HPMS?

HPMS provides affordable CEUs, coding scenarios, CDs, Annual CEU Conference, newsletters and onsite seminars or workshops as well as a free coding and answer center for members. Additionally through relationships with our partners HPMS members can utilize on-line courses made available through ZirMed University and University of Kentucky's CECentral.

Our newest member portal offers continued support for our graduates as well as those who have obtained their coding/billing education from other institutions. Our promise to members, when they complete PHIA's classes or obtain their education through another organization, their membership in HPMS assures they wont be left behind. What is Team PHIA?

As a service to our members and the medical community, Louisville Team PHIA meetings were organized to invite healthcare speakers to present on various topics. Meetings are held the 3rd Tuesday of each month in the Education Center at Baptist Hospital East from 6pm 7pm. One (1) CEU is awarded to PHIA members and a nominal fee of $5 for members and $8 for non-members is charged (Cash/Checks). Everyone is welcome to attend Louisville Team PHIA meetings. Which courses make up the Medical Coding Certification program?

There are 3 courses involved with our Medical Coding program: Medical Terminology and Anatomy (diploma program), Fundamentals of Billing and Coding (diploma program) and Certified Coding Professional (physician coding certification). New classes begin the first Monday of each month. Once completed, the student will be ready to sit for their National certification exam with PHIA. These 3 courses will take approximately 9 months to complete. The cost, length, agenda, etc. can be found in this student prospectus on the HOME page. Is there a study guide available for physician/out-patient coding?

Yes. The CCP study guide consists of over 400 sample questions regarding the rules to proper coding of CPT, HCPCS and ICD-9-CM codes, 100 coding exercises and a mock exam. Answers are provided in the book to all sample questions, exercises and mock certification exam. All curriculums are continually updated to encompass the ever-changing body of government rules, regulations and codes. Do you have to be certified to be a member?

No, you do not have to be certified to be a member! Anyone working in the medical field can join. The cost is reasonable and information is distributed weekly via email through our PHIA Newsflash. As a member based organization we feel it is our responsibility; to not only provide our members with quality education but to also provide our members with timely information that could affect you and/or your practice. We participate with several organizations who feed us information before it goes to the general medical community so we can distribute the information to you in real time.

There are several membership opportunities available; pick the one that best suits your needs: Individual (holds no certification), Corporate (individual practice), Grandfather In (holds equal certification with another reputable source), and International (Individual and Grandfather In available). Who qualifies to "Grandfather In"?

If you already hold a certification with another reputable credentialing organization you can Grandfather In to PHIA and hold our credentials as well without having to take our exam!

You've already taken an extensive exam to prove you are qualified as a professional in your area therefore there is no need to make you re-test. PHIA firmly believes that holding certifications from more than one certifying body indicates you want to expand your level of knowledge in this ever-changing field. The "Grandfather In" membership was developed as an avenue to utilize the educational tools offered by different organizations. Being certified and receiving information from more than one company indicates to your employer your high stands and promotes the value you bring to the organization. Which credentials are available through PHIA?

PHIA offers credentials for Physician/Out-Patient (CCP), Hospital (CCP-H), Audit Specialist (CCP-AS), Billing (CMBS) and Practice Management (CMPM). All certification courses require the completion of a written - timed exam in order to receive the certification however we do not require that you take our courses in order to sit for our exam. All exams are available for those who have been properly trained however this must be pre-approved through PHIA first. We also do not require the individual sit for our exam at our home office in Louisville, Kentucky. The certification exam can be taken at a licensed proctoring facility in your area. Prior approval through PHIA is required.     top of page

How many CEUs do I need to maintain my certification/membership?

PHIA requires 16 CEUs per year for those who hold one credential. Each additional certification requires six additional CEUs and must reflect that credential. We host workshops and seminars on a regular basis at an affordable cost. We also accept CEUs from other reputable organizations as well as some from areas such as Compliance, HIPAA and OSHA. These areas all include issues that have some impact on your job; therefore, we feel they should be accepted as continuing education. PHIA offers cost effective ways of obtaining CEUs, including our Annual October CEU Conference in Louisville, KY. Many CEUs can be obtained FREE. Louisville Team PHIA meetings offer various speakers/topics each month and 1 CEU is awarded at a nominal fee of $5 for members and $8 for non-members. Everyone is welcome to attend Louisville Team PHIA meetings. When are my CEUs due?

PHIA has received several calls regarding the due date for CEUs. Your letter will state the 1st day of the month as your due date however you have until the last day of the month to submit your CEUs and renewal form.

Example: if your CEUs are due October 1st then you have until October 31st to submit them. After the 31st your renewal will be late and subject to the $25 late fee. Please contact membership@phia.com if an extension is needed.     top of page

What method can my CEUs and renewal form be submitted?

Currently PHIA only accepts membership renewal forms and CEUs via snail mail. Faxes or emailed information cannot be accepted. However, we are currently working with our web developer to establish a portal so that all of your membership information can be received through the PHIA website and payment can be done online. A notice will be emailed out to all members when this has been completed.     top of page

Will PHIA accept CEUs from BC Advantage, AAPC or other reputable seminars/organizations?

YES, CEUs from other reputable seminars/organizations are accepted however the date must fall within the 13 month time frame of your renewal.

Example: If your CEUs are due October 1, 2012 the CEUs you submit must be dated between September 1, 2011 October 1, 2012. CEUs that fall outside the 13 month time frame will not be credited and you will be contacted via email to submit current CEUs.

Caution: Organizations such as BC Advantage, AAPC, AHIMA, etc. offer CEUs for purchase. These are accepted at PHIA but remember to review the DATE listed on the offer.

For instance: The AAPC offers CEUs for all past topics in their "Coding Edge" publication. Due to constant rules/regulation changes within our industry submission of these CEUs must fall within the 13 month time frame that reflects your membership. CEUs that fall outside the 13 month time frame will not be credited and you will be contacted via email to submit current CEUs.     top of page
